How to use this site

One calm place for the whole care week.

Kinship Care Collective runs scheduling, visit records, payments and licensing paperwork in a single workspace for our team. Everything below is private to signed-in staff. Here's the path from first sign-in to a paid, documented week.

Create your account and get the right role

Sign in from the team page with your work email and password, or continue with Google. The first account created becomes the agency owner; everyone after starts as a caregiver and can be promoted to scheduler or owner from the Caregivers page.

  • First account = agency owner
  • Owners & schedulers can edit everything
  • Caregivers see their visits and can clock in and out

Add your caregivers and clients

Start on the Caregivers page — add each caregiver with their pay rate, contact details and background check date, then link their login so they can clock their own visits. Then add clients with their address, hourly rate, weekly hours and payment method.

  • Background check status and expiry show renewal flags
  • Assign clients to caregivers from each card
  • Betty and Diane can be locked to you so nobody else can be assigned

Build the week in the calendar

The Calendar has a week and a month view, color-coded by caregiver. Click any day to add a visit, or click an existing visit to retime, reassign or cancel it. Filter by caregiver or client to check one person's week.

  • A visit needs a client, caregiver and time range
  • Cancelled visits stay visible but never count as hours
  • Every change is written to the audit log automatically

Clock in and out of each visit

Today's visits on the dashboard, the visit dialog and a caregiver's own list each have clock in / clock out buttons. Times land on the visit itself and in the audit log, so the record of hours actually worked is separate from the plan.

  • Clock in when you arrive, clock out when you leave
  • Actual time is shown next to the planned time
  • A caregiver linked to a login can only clock their own visits

Confirm each two-week block in Wave

Billing runs in two-week blocks per client. When a Wave receipt comes in, press Record payment, enter the amount, the date, how it was paid and the Wave invoice number. The client is covered for that block and the red flag clears everywhere.

  • An upcoming block can't count as covered until its receipt is recorded
  • Receipt numbers are required so every payment traces back to Wave
  • Paid blocks can be corrected or reopened if you enter something wrong

Keep the care plan and daily notes current

Each client has a plan of record plus dated notes — personal care, medication prompts, mobility, meals or anything you notice. Notes can be tied to a specific visit, and everyone on the team sees the same current plan.

  • Pick a category so notes are easy to scan
  • Notes can be edited or removed later
  • Plan of record changes are logged for licensing

Answer the state inspector from one page

The Audit Log records who changed what and when — every visit created, retimed, reassigned or cancelled, every clock in and out, every payment. Export the CSV for an inspection or print it for a file.

  • Filter by action type or person
  • CSV export includes clock in/out columns
  • Background check expiry dates sit on each caregiver card
